How to use OneDrive

OneDrive gives you one place to store, share, and sync your work or school files. You can save your files in OneDrive and then work with them from almost any device.

Things to do in OneDrive

  • Upload files from your PC or Mac.
  • Share files with others.
  • Give others permission to edit files and work on them at the same time.
  • Get your files from anywhere, on your computer, tablet, or phone.
  • Sync OneDrive to your PC or Mac, so you can access your files even when you're offline.

Getting Started in OneDrive

  • Sign into OneDrive using your Work or School account. If you do not have OneDrive downloaded on your PC or Mobile Device, please go to this link: https://www.microsoft.com/en-us/microsoft-365/onedrive/download .
  • Once here you sign in, follow the instructions and make sure you are backing up all folders by enabling all folders on your computer like below

  • After enabling all folders, this will ensure that all files uploaded to your computer through these folders will be backed up in case your computer breaks or crashes so we can recover your data.

Instructions to use OneDrive on PC

There is a variety of things to do in OneDrive with your files. Here are some instructions to fully use OneDrive.

  • After signing in to your account, go to your File Explorer on your computer represented by the icon below.

  • Once you enter File Explorer, go on the right side and find your OneDrive which is represented by the red box below.

  • To create a Folder in OneDrive. You can do it in two ways. The first way is by clicking the button on the Top Right that says “New”, and it should give you options. You can add more than just a folder, but we are going to guide you on how to create a folder first.

  • The other way to create a Folder in OneDrive. The other way is to Right Click on your mouse in the blank space and it should give you the same options.

  • Once you click on the folder, please name it however you want. For learning purposes, we named ours “Test 1”. You can put whatever you want into this folder or use this as the main folders for all your sub folders.

How to Share Files and Folders

  • You can also Share this folder with others inside and outside your organization. To do this, Right Click on the Folder you have created and find the “Share” button and press it.

  • After pressing the button, it will bring up a new window. From here you will add the people you want and give them the correct permissions. If they are inside your organization, you can just type their name, and they should pop up. If they are outside your organization, you will type in their email address to give them their permission.

  • To give permissions, click on the drop-down menu on the right side of adding people. You can give these permissions below:
    • Can Edit: Someone has full access to the documents. They can download, make changes, and view it.
    • Can View: Someone can view the documents but cannot make changes to your originals. They can download it and make changes but cannot put the file into your folder.
    • Can’t Download: They can view but cannot download the file. This one is restrictive, if you share your file or folder, they can view but not download any documents inside it.

  • Once you are done adding everyone you need and granting the permissions you need, you will press the “Send” button. This will send an email out to everyone you need to access the file or folder.

  • If you want to send a link out to a lot of people instead. Make sure you have no one’s name typed in. Make sure you have the correct permissions for the link that you want everyone to have. Then press “Copy link” and it will copy the link for you to paste into a chat or an email to send to anyone you want to. You can also access more to the link settings by pressing the “Gear” button next to the “Copy link” button to set an expiration date and password for the link so if the link gets shared to someone you do not want to that they cannot access it without the password or after the expiration date.

How to Access OneDrive Online

  • You can do this to individual files in your OneDrive or folders. If you need to access the online portion of OneDrive. Go to the Bottom Right of your Taskbar and find the Blue Cloud like the picture below.

  • Once you press Blue Cloud, you will get a pop up. On the pop up, press the Globe button which says “View Online” to view your OneDrive via a website. You can do everything we have done above from the website.

How to Fix OneDrive Syncing Issues

  • If your OneDrive starts messing up, press the “Gear” icon on the Top Right of the Pop Up. Another pop up should appear. After it appears, press “Pause syncing”. It will drop down to different options. Press “2 hours” give it a few seconds then resume it to get your syncing back up and running

  • If that does not work, Press the “Gear” button on the pop up and when the next pop up comes up. Press “Quit OneDrive”. This will exit out the application and close it. After waiting a few minutes, go to the Taskbar and type in OneDrive and click on the application that pops up. It should reload OneDrive and start syncing again.
